Mindbody's Built-In Waiver vs. a Dedicated Waiver App: What Studios Actually Need
Mindbody has a built-in waiver. See what it covers, where busy studios outgrow it, and when a dedicated app like WaiverKing saves front-desk time.
Do you need more than Mindbody's waiver?
If you run your business on Mindbody, you already have a waiver tool, and it just got better. For plenty of businesses, it's enough.
But if your front desk still has clipboards, a "to scan" pile, or duplicate client profiles to merge, it's worth asking whether the built-in option covers everything.
Here's what the built-in waiver does well, where busy studios outgrow it, and when a dedicated waiver app makes sense.
What Mindbody's built-in waiver does
Mindbody's own help docs describe two related tools on the Client Forms and Liability Waiver screen.
The waiver: you type your policy into a text box, and you can turn on a setting that asks clients to acknowledge it during booking. Clients agree to it before they create their account.
Client forms: custom forms you can include in appointment, class, or course confirmation emails, so clients fill them in ahead of time. A waiver can be attached to a client form.
When a client completes the waiver in the Mindbody app, the Mindbody business app, your branded app, or branded web tools, a digital copy is saved to their profile automatically. Staff can also mark a waiver as complete or email an unsigned waiver to a client from their profile.
What changed in October 2026: Mindbody's October 25, 2026 product update (https://www.mindbodyonline.com/business/product-updates) added expiration rules on waivers and forms with automatic reminders to re-sign, sending forms at more touchpoints such as profile creation or a membership purchase, required initials on key terms, and mapping form fields to the client profile, so details auto-fill on submit and forms pre-fill with info you already have, with changes logged.
That's a strong starting point, and it's worth turning these features on.
Where studios start to feel the limits
Mindbody's current help docs still point out a few things worth knowing.
Paperwork completed outside Mindbody still needs handling. Mindbody says waivers completed through other methods need to be uploaded manually or stored in hard copy. If walk-ins or guests sign on paper, someone still has to scan, upload, and file.
Client forms are optional before booking. Mindbody's help docs say clients aren't required to complete client forms before they enroll in services. The new reminders and extra send points should help, but some people will still arrive with forms to fill in.
Features depend on your package. Mindbody notes that some client form features are only available with certain software packages.
Real businesses have more than one form. A Pilates studio might need a waiver, a PAR-Q, and a membership agreement. The more forms you have, the more it matters how easy they are to build, complete, and find.
None of this makes the built-in option "bad." It just means the front desk may be doing work software could do.
What a dedicated waiver app adds
WaiverKing for Mindbody is built for businesses that want every form, including walk-ins, to land in the right place without extra steps.
1. The client signs, from home using a link you send, or at a front-desk device when they arrive. 2. WaiverKing matches the signer to their existing Mindbody client profile, or creates a new profile if they're new. 3. The completed form is saved as a PDF and filed with that client's Mindbody record in real time.
No downloading, no scanning, no uploading.
Fewer duplicate profiles: each signer is matched to an existing profile before a new one is created, so your client list stays cleaner.
A front-desk kiosk for walk-ins: walk-ins can sign on a tablet or front-desk device instead of a clipboard. Visual alerts tell your front desk when a form has been signed.
Family sign-ups: adults can add their children to the waiver in one go.
More than a signature: collect waivers and intake forms, PAR-Q and health questionnaires, membership and debit authorization agreements, photo releases, cancellation and freeze forms, and treatment notes and other internal documents. Upload as many documents as you need. Clients get a copy of their signed forms by email automatically.
You don't have to build your forms yourself: send us the form you already use (PDF or Word) and our team builds your first one free. Additional forms typically cost $5, $10, or $15 each, depending on length.
"We have tried using other electronic waiver systems in the past and none are as convenient as WaiverKing. They take care of the extra step of putting the waivers into our Mindbody system, which saves us a lot of time." KB Fitness, WaiverKing customer

So, which do you need?
Mindbody's built-in waiver may be enough if nearly all clients sign through Mindbody's own apps or web tools and you have one simple policy and few other forms.
A dedicated waiver app is worth a look if you still scan, upload, or file paper forms, walk-ins or groups slow down check-in, parents need to sign for children, you use several forms (PAR-Q, intake, membership, treatment notes), or your team spends time fixing duplicate client profiles.

FAQ
Do I have to stop using Mindbody's built-in waiver? You don't have to, but switching it off can make things simpler for your staff. Mindbody's own waiver can show a "No waiver" alert on a client's profile even when they've already signed their WaiverKing form, which can confuse front-desk staff. Depending on how a client signed up, Mindbody's version may be just a checkbox, with or without a PDF and signature. If you'd like to avoid that confusion, you can disable Mindbody's waiver and have staff confirm the WaiverKing form is signed instead. WaiverKing works with your existing Mindbody setup and files completed forms with your clients' Mindbody records.
Can clients sign before they arrive? Yes. Send a link to complete on any phone, tablet, or computer, or let them sign on a front-desk device.
Do I need to build my own forms? No. Our team builds your first form free from the document you already use.
